Privacy Policy

Who we are
Conversionbird, LLC ("ConversionBird," "we," "us") is a performance marketing agency for e-commerce brands, based in San Diego, California, USA. This policy explains how we handle personal information collected through conversionbird.com (the "Site") and our client reporting portal at clients.conversionbird.com (the "Portal").

Information we collect
Information you give us
- Contact and booking details. When you book a call through our scheduling tool (Calendly) or contact us, we collect your name, email address, company, website and anything else you choose to share, such as your answers to booking questions.
- Newsletter signups. If you sign up for our newsletter or marketing emails, we collect your email address.
- Client communications. If you are a client or prospective client, we keep records of our emails, calls and proposals.
Information collected automatically
- Analytics and advertising data. We use Google Analytics and the Meta Pixel on the Site, and Klaviyo's website script. These tools use cookies and similar technologies to collect information such as pages viewed, links clicked, referring site, approximate location (from IP address), device and browser type, and whether you arrived from one of our ads.
- Embedded content. Some pages include videos hosted on YouTube and Vimeo (loaded through Embedly) and a Calendly booking widget. These providers may collect information about your visit under their own privacy policies.
- Portal usage. When a client signs in to the Portal, we record sign-ins and count report views per client using a device cookie. Our hosting provider (Netlify) also keeps standard server logs, such as IP address, browser type and request time.
Client data we process as a service provider
To deliver our services, our clients give us access to their business accounts, such as Meta and Google Ads, Shopify, Klaviyo and similar tools. Data in those accounts, including any information about the client's own customers, is processed on the client's behalf and under our agreement with that client. The Portal shows clients advertising performance data pulled from their own ad accounts. If you are a customer of one of our clients, that client's privacy policy governs your information. Please contact them directly with requests.
How we use information
We use personal information to:
- respond to inquiries and schedule and hold calls;
- provide, manage and report on our services, including operating the Portal;
- send newsletters and marketing emails you signed up for (you can unsubscribe at any time);
- understand how the Site is used and improve it;
- measure and improve the performance of our own advertising, including showing our ads to people who visited the Site;
- keep the Site and Portal secure and prevent misuse; and
- comply with legal obligations and enforce our terms.
Legal bases
Where laws such as the GDPR apply, we rely on: consent (for marketing emails and non-essential cookies where required); contract (to provide services and Portal access to clients); legitimate interests (to run, secure and improve our business and respond to inquiries); and legal obligation where applicable. You can withdraw consent at any time without affecting earlier processing.
How we share information
We share personal information only with:
- Service providers who help us run our business, such as Webflow (website hosting and forms), Netlify (Portal hosting), Calendly (scheduling), Klaviyo (email marketing), Google (analytics and fonts), Meta (advertising measurement), Embedly, YouTube and Vimeo (embedded video), and email, document and project management tools. They may use the information only to provide services to us, or as described in their own policies where they act independently.
- Professional advisers and authorities, when required by law or needed to protect our rights, users or the public.
- A successor business, if we are involved in a merger, acquisition or sale of assets.
We do not sell personal information. We do not exchange personal information for money.
Cookies
Cookies are small files stored in your browser. We use the following:

Calendly, YouTube and Vimeo may set their own cookies when their content loads. You can block or delete cookies in your browser settings. Blocking cb_report will prevent Portal sign-in. To limit ad tracking, you can also use Meta's ad preferences and Google's Ads Settings, or install the Google Analytics opt-out add-on.
Data retention
We keep personal information only as long as needed for the purposes above:
- Inquiry and booking details: for as long as needed to respond and follow up, and for up to 3 years after our last contact.
- Client records: for the length of the engagement and as required for legal, tax and accounting purposes afterwards.
- Newsletter data: until you unsubscribe. We keep a record of the unsubscribe so we do not email you again.
- Analytics data: according to the retention settings of each provider.
- Portal cookies: cb_report expires after 30 days. Report-view counts are kept while the client relationship is active.
Security
We use reasonable administrative, technical and physical safeguards. These include HTTPS, password-protected Portal access with signed cookies, and limiting account access to the people who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your California privacy rights
If you are a California resident, the California Consumer Privacy Act, as amended by the CPRA, gives you the right to:
- Know what personal information we collect, use and disclose, and request a copy of it;
- Delete personal information we collected from you, subject to legal exceptions;
- Correct inaccurate personal information;
- Opt out of the sale or sharing of personal information. We do not sell personal information. Our use of the Meta Pixel to advertise to past Site visitors may count as "sharing" for cross-context behavioral advertising under California law. To opt out, email us at kyle@conversionbird.com and we will stop that sharing for you;
- Limit the use of sensitive personal information. We do not collect sensitive personal information for this purpose; and
- Not be discriminated against for exercising any of these rights.
To make a request, email kyle@conversionbird.com with the subject line "Privacy Request." We will verify your identity by matching information you give us with information we hold, and we will respond within the timeframes the law requires. You may use an authorized agent, but we may ask for proof of their authority. If your information came to us through one of our clients, we may refer your request to that client.
Children's privacy
The Site and Portal are intended for businesses and are not directed at children under 16. We do not knowingly collect personal information from children under 16. If you believe a child has given us personal information, contact us and we will delete it.
International visitors
We are based in the United States, and our service providers may process information in the United States and other countries. Their data protection laws may differ from those where you live. If you are in the EEA, UK or another region with similar laws, you may have rights to access, correct, delete, restrict or object to processing, and to data portability. You can exercise these rights by emailing us, and you may also complain to your local data protection authority.
Changes to this policy
We may update this policy from time to time. When we do, we will post the new version here and change the effective date above. If the changes are significant, we will take additional steps to notify you where appropriate.
